Contracts Coordinator

Our Contracting Department is responsible for our portfolio of existing suppliers as well as for actively expanding our supplier base. This role provides office based support to the contracting team by assisting with the contracting of rates and allocations with suppliers, logging and filing agreements and liaising across departments/teams with regular updates on contracting. 

Responsibilities

  • Preparing & issuing of both group & FIT contracts as agreed by Contract Managers
  • Ensuring all issued contracts are signed and returned on time
  • Liaising with suppliers on any outstanding contract requirements
  • Loading contracts into internal CRM system
  • Assisting with the negotiating of rates and T&C’s for products across the UK
  • Loading of series bookings into system
  • Office based point of contact/ liaison for all teams within TPG
  • Office based point of contact for suppliers
  • Managing supplier Extranet
  •  Ad-Hoc rate/space negotiation with suppliers
  •  Assisting with collation and distribution of attraction rates
  •  Coordinating supplier training/ meetings (in-house) in conjunction with Contract Managers
  • Preparing and distributing (CM’s) reports
  • Timely distribution of new hotels, allocations & offers to relevant teams
  •  Attendance at trade events, supplier meetings & workshops
  • Coordinating product training and product updates with other departments
